Job Summary: Provide administrative support to teams at the Adult Recover Center. Assist Front Office Managers and Program Managers in all aspects of job as needed.
Qualifications: High School Diploma or equivalent, some college preferred, experience minimum of two years Administrative Assistant experience, and human Service background preferred Skills.
Duties: Create a positive experience for consumers and guests though professional conduct and customer service at the front desk, on the phone, and in e-mail. Ensure front desk and lobby area are aesthetically pleasing, safe, and friendly for all guests. Receive and route clinic telephone communications ensuring callers are directed to the appropriate destination in a timely fashion. Maintain your Outlook calendar, tasks, and meetings. Fulfill e-mail requests in an appropriate and concise manner. Accurately schedule consumer appointments with psychiatrists, nurses, and other clinical staff. Check-in consumers at each visit. Verify demographic and insurance information and collect copays. Maintain each consumer's right of confidentiality and privacy. Ensure prompt handling of documents for filing and scanning: 100% of documents are to be collected and sent to Medical Records daily. Complete Requests for Information. Log all record requests into the External Requests for Information log in STAR and send to Medical Records department to be fulfilled. Follow guidelines and instructions of Manager of Medical Records and Front Office Managers. Attend support staff meetings for training and team-building purposes and to support Wellness Culture among Administrative staff. Assist consumers in arranging transport! ation when needed. Handle paperwork on a daily/as needed basis. This includes: copying, faxing, and preparing outgoing mail. Maintain positive interpersonal relations with internal and external customers including outside agencies. Be aware of surroundings and utilize appropriate resources and procedures to handle situations before they escalate. Assist Front Office Managers in maintaining office supplies and equipment. Communicate maintenance and janitorial needs. In Front Office Manager's absence, assist in coordination of clinic needs. Perform a variety of administrative duties in order to ensure the smooth running of the clinic. Read, understand, and execute the benchmarks and procedures that apply to your designated position. Perform other duties as assigned, based on site needs.
