Job Summary: Under general supervision of Asst. Supt. for Finance and Business monitor athletics/activities accounts and supervise management of Federal grant budgets and reimbursements. Coordinate with various program directors, building principals, administrators and the charter school to provide fiscal responsibility and judgment.

Experience and Education: Bachelor’s Degree in accounting/business administration or related field. CPA desired but not required. NM Public Education Department School Business Official license or the ability to obtain certification. Years of experience in a related field may be substituted on a year for year basis for relevant education.

Duties: Under supervision of Assistant Supt. for Finance, estimate, develop, analyze and adjust district’s Federal, state and local grant budgets, Office of Instruction, Director of Federal Programs, Director of Special Education, director of Bilingual Education, school principals and school staff and for charter school. Supervise Fixed Asset & Federal Programs Accountant to assure proper accounting procedures are followed for district Federal Grant programs. Supervise the reviewing, analyzing and approving/rejecting grant funded purchase requests, i.e. requisitions, POs, travel reimbursement for federal, state and local grants submitted by district staff and charter school. Provide feedback and/or possible alternatives under allowable grant costs, state procurement code and other regulations, terms and/or agreement conditions. Provide quarterly and annual reports for the district grant funded general ledger account balances to the NM Public Education Department, including the charter school. Supervise the tracking, analyzing, preparation and processing cash reimbursement requests for the district’s and charter school’s federal, state and local grants expenditure reimbursement of funds budgeted in coordination with the NM Public Education Department and the Department of Finance. Supervise analyzing, preparation and processing required budget adjustment requests in coordination with various district departments, schools, charter school and RISD Board of Education and the NM Public Education Department. Supervise maintenance of grant funds general ledger accounts through verification, reconciliation and tracking expenditures as needed to ensure proper Chart of Accounts Classification and in accordance with accepted allowable costs, district policy, state procurement code, the UCOA, etc. Prepare analysis and reports for Superintendent and Assistant Superintendents. Perform internal audits of agency fund accounts and make recommendations on correction of procedures or handling. Provide training, recommendations, trouble shooting financial information and analysis regarding the management of district funds and transactions to various sites and district and charter school personnel. Provide staff training and technical support with activity accounts. Conduct training sessions on procedures and policies.
